1. DEFINITIONS

  • The Hire Company refers to The Table Station Pty Ltd

  • The Client / Hirer refers to any individual or entity hiring equipment

  • Equipment includes all marquees, furniture, lighting, décor and accessories

  • Event Date refers to the date provided by the Client

2. HIRE AGREEMENT

By accepting a quote, paying a deposit, or proceeding with a booking, the Client agrees to these Terms & Conditions.

All bookings are secured on a first-to-confirm basis.

3. QUOTATIONS

  • Quotes are valid for 14 days

  • Prices are in AUD and may change if details change

  • Additional access, labour, or site requirements may affect final pricing

4. BOOKINGS & PAYMENT

  • A 50% non-refundable deposit is required to secure a booking

  • The remaining balance is due 14 days prior to the event

  • Bookings within 14 days require full payment upfront

  • Custom or special-order items require full payment at booking

  • Payment methods: bank transfer, credit card (surcharge may apply)

  • Failure to meet payment terms may result in cancellation or withholding of delivery

5. CANCELLATIONS & CHANGES

  • A 50% deposit is required to secure all bookings and is non-refundable

  • Cancellations made more than 4 weeks prior to the event date will result in the deposit being retained, with any additional payments refunded

  • Cancellations or reductions in order value within 14 days of the event date will incur up to 100% of the total hire fee

  • Changes to item quantities or scope of works within 14 days of the event may not be accommodated and, where accepted, may incur additional charges

  • Date changes may be accommodated subject to availability and must be confirmed in writing

  • Wet weather does not constitute grounds for cancellation. The Client is responsible for arranging suitable contingency plans

  • Where The Table Station agrees, at its discretion, to refund any portion of a deposit, a $50 administration fee will be retained to cover processing and handling costs

6. HIRE PERIOD

  • Covers agreed delivery through to collection

  • Equipment must be ready at agreed collection time

  • Late returns or delays may incur additional hire charges

7. DELIVERY, ACCESS & SITE CONDITIONS

  • Safe and clear access must be provided

  • Any stairs, long carries, restricted access, or limited parking must be disclosed

  • Additional charges apply for undisclosed or changed access conditions

  • Pricing assumes ground-level access unless otherwise stated

  • If site conditions differ from those advised, additional labour or equipment charges may apply

  • The Client must ensure the site is clear and suitable for installation

  • The Hire Company must be granted access at reasonable times

8. USE & CARE OF EQUIPMENT

  • Equipment must be used appropriately and handled with care

  • Items may be used outdoors but must be stored undercover when not in use

  • Equipment must not be left exposed to rain or overnight weather unless agreed

  • The Client is responsible for protecting equipment during the hire period

  • The Client is responsible for the security of all equipment, including overnight

9. LOSS, DAMAGE & CLEANING

  • The Client is responsible for all equipment from delivery until collection

  • Any loss, theft, or damage will be charged accordingly

  • Damage assessment (repair vs replacement) is at the discretion of The Table Station

  • Items must be returned in a reasonably clean condition

  • Excessive dirt, staining, or misuse will incur cleaning or repair charges

Examples include (but are not limited to):

  • Burns (e.g. cigarettes)

  • Wax, paint, or staining (including red wine)

  • Water damage

  • Misuse or structural damage

10. CARE & REPLACEMENT GUIDE

We understand accidents can happen — the below is a guide for replacement and repair costs where required.

Replacement values are provided as a guide and are applied where items are lost or damaged beyond repair. Wherever possible, cleaning or repair will be carried out prior to replacement.

CLEANING & REPAIR FEES (ex GST)

Standard Cleaning - $60 per hour
Carpentry / Minor Repair - $80 per hour
Major Repair - assessed case-by-case

Notes

  • Normal wear and tear is acceptable

  • Cleaning and repair are prioritised before replacement

  • Charges are applied fairly and only where required

11. MARQUEES & INSTALLATION

  • Ground conditions must be suitable

  • Pegging requires approx. 900mm ground penetration

  • If pegging is not possible, weighted installation will apply

  • The Client must disclose underground services prior to installation

  • The Table Station is not liable for damage to undisclosed underground services

  • The Client is responsible for permits and approvals

  • Marquees are temporary structures and must not be moved, adjusted, or interfered with

  • Any damage caused by interference or misuse is the Client’s responsibility

12. WEATHER

  • The Table Station is not responsible for weather conditions or their impact on the event

  • The Client acknowledges that outdoor events carry inherent weather risk

  • The Client is responsible for arranging contingency plans where required

13. SAFETY & LIABILITY

  • The Client must ensure a safe environment

  • Children must be supervised around equipment

  • No modifications to equipment are permitted

The Table Station is not liable for:

  • Injury, loss, or damage arising from misuse

  • Theft, vandalism, or third-party interference

  • Indirect or consequential losses

Liability is limited to the value of the hire.

14. SECURITY BOND

  • A bond may be required depending on the booking

  • Any damage, loss, or cleaning costs may be deducted

15. VARIATIONS

  • Any changes to the order, delivery details, or scope of works after confirmation may result in additional charges

16. FORCE MAJEURE

The Table Station is not liable for delays or failure due to events beyond reasonable control, including weather, natural disasters, or government restrictions.
